WEBSITE REVIEW AND UPDATE PROCEDURE

1.0 Purpose

The purpose of this procedure is to ensure that the publicly accessible sections of the Bardex Corporate Web Site is reviewed on a regular basis for accuracy, freshness of content and maintains a professional image.

2.0 Scope

This procedure applies to all departments at Bardex Corporation that are involved with customer focus and the provision of human resources.

3.0 Responsibility

Overall responsibility for the Bardex Web Site belongs to the Executive Vice President. The Sales Department is responsible for Quarterly Reviews and the Web Site Administrator is responsible for day to day operations.

4.0 Definitions

Minor Modification: Minor text changes e.g. spelling and grammar errors, bad links, updated dates, phone numbers, address, etceteras.

General Modification: Content changes e.g. press releases, product descriptions, job openings and etceteras.

Major Modifications: Major changes to web site design and layout.

5.0 General

To ensure the freshness of content on the Bardex Web Site the Bardex Sales Department will perform a quarterly review. This review shall include all publicly available information on the web site. This review shall include at least the following:

  • Product Offerings
  • Press Releases / News
  • Contact Information
  • World Wide Representatives List

The Sales Department shall also be responsible for collecting feedback and generate press releases, news and product related content on a regular basis.

The Web Site Administrator or designee shall perform necessary web site updates and changes.

6.0 Procedures

6.1 Minor Modifications

Minor Modification requests may be submitted by any concerned party to the Web Site Administrator (WSA) and performed at the WSA's discretion.

6.2 General Modifications

General Modifications require approval from the Sales Department except as noted below.

6.2.1 Press Releases / News

Require one press release per quarter e.g. "Bardex welcomes new ISO coordinator", "Bardex secures contract for ship lift system", Etc. The Executive Vice President shall approve all press releases.

6.2.2 Employment Opportunities

The web site may contain a list of available positions within the Bardex Corporation. Department Heads or designated Human Resources representatives may submit written job postings to the Web Site Administrator (WSA) as required.

These submittals shall include the position, the job description and preferred contact information. It is the responsibility of the Submitter to inform the WSA when a job posting is authorized to be removed from the web site.

6.3 Major Modifications

Major Modifications require written approval from the Executive Vice President before "live" implementation.

6.3.1 Web Site Reconstruction

The web site will periodically require revamping to meet the changing needs of Bardex, its customers and to reflect modern trends and technology. Should the quarterly review deem it appropriate that the entire web site may be re-constructed, the following process is recommended as a guide:

  1. Gather feedback from concerned parties (See 6.4), analyze trends and technical capabilities.
  2. Design the structure and organization of the new web site. Utilize simple flow charts and mockups to help iterate revisions.
  3. Evaluate different graphic design elements that control the look and feel of the web site. Select one and apply it to the structure determined above.
  4. Build and revise the new web site.
  5. Test. Check for content and technical errors as well as compatibility with major browsers.
  6. Review and receive written approval from Executive Vice President.
  7. Deploy (publish the web site).

6.4 Collecting Feedback

On a day-to-day basis information will be gathered though email, on-line forms, user initiatives, usage statistics and various other sources for use in the Quarterly Review. No general or major changes will be made until ratified by the review.

6.5 Quarterly Review

The Sales Department will review the entire web site for compliance with its stated purpose, paying particular attention to the items listed in 5.0, and assess feedback collected in 6.4. The review will determine what, if any, changes or revisions need to be applied to the web site and assigned a priority:

  1. Change immediately
  2. Long term change
  3. As time permits
  4. Wait and see

All product images and technical information shall be reviewed by the Engineering Department for technical accuracy and to prevent the inadvertent dissemination of Bardex Intellectual Property onto the Internet.

All Major Modifications Requests need to be reviewed and approved before implementation by the Executive Vice President.

Exceptions to the quarterly cycle: There will always be updates that cannot wait for the quarterly review. Included here are errors of fact or omission, short-term announcements, problems with user access, dated achievements etc. These kinds of changes will be performed as soon as possible with the understanding that they should be kept to a minimum to insure the site doesn't grow in an ad-hoc fashion. A running report of such changes will be available for the Quarterly Review and maintained by the Web Site Administrator.
